Groups & Special Events

CocoLaPalm is an ideal setting for group travel and special events. Whether you are planning a corporate retreat, family reunion, anniversary, or birthday celebration, our team is dedicated to creating a memorable experience tailored to your needs.

Group Benefits

Group Amenities

  • Special group rates for groups with a minimum of 10 rooms staying 3 nights or more.
  • Group rates will be applicable 3 days pre/post group dates.
  • Private registration if the group arrives together.
  • One complimentary room for every 10 rooms fully paid, with a maximum of 3 rooms per group. This is calculated in the lower room category, least number of nights, and based on double occupancy.
  • Hospitality desk.
  • Complimentary meeting space according to agenda and group size.
Discounted rooms, upgrades, and additional calculations are based on the final group breakdown. Included benefits cannot be changed or modified for additional services. The hotel will not credit unused services, concessions, or inclusions.

Our event policies

Booking & setup

  • All events must be booked in advance to guarantee the availability of venues and services.
  • All venues attract a venue fee to facilitate setup and breakdown. Setup depends on the venue, guest count, and type of event.
  • All beach events with 20 or more guests require the rental of a tent. The cost is determined by the size of the group.
  • A signed contract and deposit are required to confirm an event.
  • Final guest counts must be confirmed at least 14 days before the event.
  • A list of approved vendors will be provided. Other vendors are welcome, subject to prior approval.

Food, music & payment

  • Music and amplified sound must comply with hotel noise regulations.
  • All events should end by 10:00 PM to respect the hotel and non-wedding guests.
  • Only food and beverage provided by the hotel are allowed at private events.
  • All catering requirements must be finalized 30 days before the event.
  • Full payment for all invoiced services is due 30 days before the event.

Cancellation & postponement

  • Events cancelled 31 to 60 days before the event date attract a penalty of 50% of payments made.
  • Events cancelled less than 30 days before the event date attract a penalty of 100% of payments made.
  • Couples may postpone their event and use their deposit within one year of the initial event date.
